Everything you need to know about billing, plans, cancellation, and your data.
How billing works
Heatflow is billed monthly or annually — annual billing saves 20%.
Your trial starts the day you create your account. You have 14 days of full access at no charge — no credit card required.
At the end of your trial, you'll be asked to choose a plan and enter payment details. Your account is not charged until after the trial ends.
Payments are processed securely via Stripe. Heatflow never stores your card details.
Monthly subscribers are billed on the same date each month. Annual subscribers are billed once per year.
You can view your billing history and download invoices from within the app under Settings → Billing.
Upgrade or downgrade your plan
You can switch between Solo and Company plans at any time from Settings → Subscription.
Upgrading takes effect immediately. You'll be charged a prorated amount for the remainder of your current billing period.
Downgrading takes effect at the end of your current billing period — you keep full access until then.
When downgrading from Company to Solo, you'll need to have only one active engineer on the account. Remove additional engineers before downgrading.
Company plan billing
Company plan billing is per engineer, per month. The price is multiplied by the number of active engineers on your account.
Adding a new engineer to your team triggers a prorated charge for the remainder of the billing period.
Removing an engineer is immediate — they lose access straight away. You receive a prorated credit on your next bill.
The company account owner is responsible for all subscription payments. Engineers on a company account do not pay separately.
Cancel your subscription
You can cancel at any time from Settings → Subscription → Cancel subscription.
Cancellation takes effect at the end of your current billing period. You keep full access until that date.
There are no cancellation fees or minimum terms.
When your subscription ends, your account enters a read-only state. You can view and export all your data, but you cannot create new jobs, certificates, or invoices.
Your data is retained for 12 months after cancellation. After that, it is permanently deleted.
To avoid losing data, export your records before your account is deleted. Go to Settings → Export data to download a full copy.
Your data after cancellation
All your certificates, jobs, and customer records remain accessible in read-only mode until your data retention period ends.
You can export all data as a ZIP file containing PDFs of all certificates and a CSV export of all job and customer records.
Exported certificates are standard PDFs — fully valid and legible without Heatflow.
Heatflow is GDPR compliant. You can request immediate deletion of your data at any time by emailing support@heatflow.app.
Reactivate after cancellation
If your account is still within the 12-month retention window, you can reactivate by logging in and choosing a new plan.
All your previous data — customers, jobs, certificates — will be restored immediately.
If your data has already been deleted, you'll start fresh. Exported PDFs remain valid regardless.
To reactivate, go to heatflow.app, log in with your original email address, and follow the prompts.
